Inviting Your Team
CatalEx is most powerful when your whole team is on board. This guide explains how to invite colleagues, manage pending invitations, and assign roles. Team management lives in Settings → Users and is available to Admins and Owners.
Sending an invite
- Open Settings (your profile avatar in the sidebar) and go to the Users tab.
- Under Members, click Invite User.
- In the Invite New User form, enter the recipient's Email and pick a Role — Member or Admin (default is Member).
- Click Send Invite.
CatalEx emails the recipient a secure invite link.
You can't invite someone as an Owner. There is exactly one Owner per company. To hand over ownership, use Make owner on an existing admin (see Roles & Permissions).
When the recipient clicks the link
The invite opens a Join page titled "Join [your company]":
- New to CatalEx? They set their name and a password (or use Google) and are added to your company with the assigned role.
- Already have an account? They're added to your company immediately.
Managing pending invites
In Settings → Users, the Pending Invites table lists every invite that hasn't been accepted yet, with its email, role, and when it was sent. For each one you can:
- Resend Email — send the invite again (it briefly shows "Sent").
- Revoke — invalidate the link. You'll confirm; afterwards the link no longer works.
Managing members after they join
Each member row has a ⋮ actions menu. Depending on roles, you can:
- Disable / Enable — revoke or restore a user's ability to log in.
- Make admin / Make member — change a user's role directly.
- Make owner — transfer ownership to an admin (Owner only; you'll type their email to confirm, and you become an Admin).
- Delete — remove a user from the company.

Choose Member if you're unsure what access someone needs — Admin grants full administrative control, including billing and integrations.
FAQ
Can I change someone's role after they join? Yes. Use Make admin or Make member on the member's ⋮ menu — no need to re-invite. To make someone the Owner, use Make owner.
What's the difference between Admin and Member? Admins can invite and manage users, connect integrations and knowledge sources, and manage company and billing settings. Members use all of CatalEx's features but can't change company-level settings. See Roles & Permissions.
Is there a seat limit? Your plan includes a set number of user seats. If you're at the limit, the Invite User button prompts you to add seats or upgrade. See Plans & Billing.
Can I invite someone who's already in another company? Each CatalEx account belongs to one company. They'd need to use a different email, or leave their current company first.
Who can see and send invites? Only Admins and Owners can view and manage the Users tab and its invites.
