Roles & Permissions

CatalEx has three fixed roles: Owner, Admin, and Member. Each company has exactly one Owner, any number of Admins, and any number of Members. Your role determines what you can see and do — especially around users, integrations, and billing.

The three roles

Owner

Full control of the company. The Owner can do everything an Admin can, and is the only role that can transfer ownership. There is exactly one Owner per company, and the Owner can't be disabled or deleted by anyone else.

Admin

Day-to-day administration. Admins can invite and manage users, connect integrations and knowledge sources, manage the company name, and manage plan and billing. Any number of users can be Admins. An admin can step themselves down to Member.

Member

The standard role. Members use all of CatalEx's productivity features — building and running agents in Studio, asking questions in Brain, and using connected Tools — but can't perform administrative actions.

Changing roles

Roles are assigned when you invite someone, and can be changed any time from Settings → Users:

  • Member ↔ Admin — use Make admin or Make member on the member's menu. The change is immediate.
  • Any admin → Owner — the current Owner uses Make owner. This transfers ownership (and demotes the previous Owner to Admin). See User Management.
tip

Keep the number of Admins small — only grant admin access to people who need to manage the workspace, its integrations, or billing.

FAQ

Can I create custom roles? Not currently. CatalEx has three fixed roles: Owner, Admin, and Member.

What happens if the Owner leaves? The Owner should transfer ownership to another user before leaving. If they've already left without doing so, contact CatalEx support to reassign ownership.

Can an Admin remove another Admin? Yes — an Admin can disable, delete, or demote any user except the Owner.

Can an Admin remove the Owner? No. Only the Owner can hand over ownership, voluntarily, via Make owner.
